Position Overview

The International Relations team within the VP (International Operations) is currently seeking a Full-time Regular Information Administrator.

The Information Administrator reports to the Director International Relations and works in support of staff in all areas of UC International.

The incumbent will liaise with various units on campus as well as external organizations to obtain information and maintain data used in various reports and documents. They must be able to communicate required information clearly and succinctly. They will work independently and with minimal supervision. They provide oversight to the UCI database, as well as input data, check data entered by others and in preparing tables, graphs and reports. Success will be measured by the incumbent's ability to work with others to define the question being asked, use initiative and sources to obtain the data and being able to interpret the information to assist in policy and procedure development.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

UCI database (moveon)

  • Key contact between UCI and the external database provider. Implement system updates changes, and communicate changes to users
  • Provide operational oversight of the UCI system to ensure proper and full use
  • Key contact with database provider: work with Host Company to resolve issues and concerns, make changes in database to meet requirements of UCI
  • Provide training and advice to UCI users to ensure accurate input and use
  • Check data entries on regular basis for accuracy
  • Prepare annual request for information to university community
  • Distribute finalized agreements to appropriate departments/users; input agreement information into moveon

Liaise with internal and external data providers

  • Establish relationship with database officers on campus for the purpose of accessing data from other systems such as: Study Abroad Office (RAISA), Office of Institutional Analysis, Enrolment Services and Graduate Studies, Research Services, etc.
  • Access external data and reports on international issues on a regular basis from external agencies such as Canadian Bureau for International Education, Universities Canada, federal government (Department of Foreign Affairs, Trade and Development) and province (International and Intergovernmental Affairs and Innovation & Advanced Education)

Preparing Reports & Advising UCI Management Team

  • Assimilating and interpreting information from a number of sources (internal and external), prepare data and reports for use by vice provost international, directors and managers regarding strategic directions for international, evaluating effectiveness of international linkages, procedure changes and policy adjustments
  • Produce reports and materials to explain data as needed
  • Compile standard reports from existing UCI systems (moveon and RAISA)
  • Preparing reports integrating UCI data with information other sources
  • Produce presentation for vice provost (international), directors and managers
  • Complete an agreement evaluation prior to expiry of existing agreements to determine if the linkage should be renewed
  • Trends and Updates: To remain current on international trends and information in order to prepare strategic discussion papers

Qualifications / Requirements:

  • An undergraduate degree in appropriate field: emphasizing writing ability, analyzing data, presentation of information, etc.
  • Training in data bases, preparation & presentations of data using charts, tables, graphs, etc.
  • Three- five years' experience using databases, computer programs including word processing, excel databases, and spreadsheets
  • Experience in interpreting data and making linkages for use in decision making, policy development, etc.
  • Micro Soft Office Applications including Word, Excel, Power Point, Access
  • Excellent writing skills
  • Knowledge of presentation software such as Power Point, Publisher, graphics tools
  • Excellent time management skills, able to handle multiple tasks and deadlines
  • Demonstrated ability to work cooperatively in small work groups to achieve results, achieve a team approach and solution as needed
  • Able to demonstrate active listening skills to ensure you understand the needs to the client and use of the data
  • Ability to keep is simple - create a clear vision of information required and outcomes expected
  • Ability to work effectively in a changing environment: adaptability and flexibility
  • Working in a post-secondary institution is an asset
