The Office of Postgraduate Medical Education in the Cumming School of Medicine is currently seeking a Full-time Regular Business Administrator.

The Office of Postgraduate Medical Education (PGME) in the Cumming School of Medicine (CSM) at the University of Calgary is accredited by the Royal College of Physicians and Surgeons of Canada (RCPSC) and the College of Family Physicians of Canada (CFPC), and oversees the education and training of 860 medical residents, 128 fellows, 40 international trainees and 408 visiting elective residents in 61 specialty and subspecialty Residency Training Programs in a variety of clinical and academic settings situated in five Calgary hospitals with collaborative relationships in urban and rural settings. Programs vary in length from 2-8 years, have independent curricula and are separately accredited according to RCPSC and CFPC mandated requirements. PGME operates in close collaboration with Alberta Health Services (AHS) departments, in addition to many different University administrative units.

Reports to the Supervisor Business Operations, Postgraduate Medical Education (PGME), Cumming School of Medicine.

The Business Administrator provides support to the Supervisor Business Operations and the Manager, Business and Infrastructure, PGME in monitoring financial activities in PGME projects. 

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Assist Supervisor Business Operations in ensuring revenues and expenditures are allocated and administered effectively for PGME
  • Reviews all expense submissions and procurement requests from 61 residency training programs for compliance with both University and PGME eligibility criteria and policies
  • Assist Supervisor Business Operations, PGME by monitoring residency programs for over expenditures
  • Prepares, monitors and reconciles expense tracking spreadsheets with respective pivot tables in Excel for quarterly reporting
  • Provide guidance to PGME administrative staff in the submission, scanning and electronic filing of payment requests
  • Submits requests for expense claims, internal purchases and procurement requests
  • Provides accurate and timely financial summaries to the Supervisor Business Operations, PGME and 61 Residency Training Programs
  • Reviews and summarizes infrastructure and simulation teaching funding proposals and acts as a point of reference for residency programs during funding proposal discussions and decisions
  • Submits requests to procure goods and services on behalf of successful infrastructure and simulation proposal stakeholders and reconciles and reports accordingly
  • Reviews all expense submissions related to Canadian Resident Matching Service (CaRMS) resident interviews for compliance with both University and PGME eligibility criteria and policies
  • Other duties as required

Qualifications / Requirements:

  • Formal education in Accounting/Finance with 3 to 5 years’ experience or an equivalent combination of education and experience
  • Experience in a finance environment, combined with excellent customer service is required
  • Knowledge of the University, the Cumming School of Medicine and departmental policies, regulations and procedures pertaining to financial matters
  • High degree of interpersonal/communication skills
  • Must demonstrate efficient organizational and time management skills in setting appropriate priorities and accomplishing tasks within deadlines
  • Ability to work autonomously with minimal direction
  • Ability to build effective relationships through a high level of cooperation and understanding when dealing within the University or outside organizations, in particular, AHS
  • Adapt to changes in organizational structures, systems and policies
  • Strong team work and collaboration is required
  • Knowledge of University core business systems and an excellent working knowledge of Microsoft Office applications
  • Previous experience working with PeopleSoft applications preferred
  • Knowledge of Generally Accepted Accounting Principles (GAAP) and other accounting experience would be an important asset
