Position Overview

The Haskayne School of Business invites applications for a Student Assistant, CASL. This position will work approximately one shift per week for 4 hours, for a term up to one year.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

Events Support:

  • Liaising with the Marketing/Communication team to book required rooms, furnishings, staging and AV equipment for various events as well as arrange catering and act as liaison with service providers
  • Logistics support including timelines, name tags, seating charts, photography, entertainment, decor display materials, audio visual requirements and gifts for presenters
  • On-site event duties including setup, tear down, guest registration and greeting

Administrative Support:

  • Provides accurate and timely administrative support for the Academic Director, CASL.
  • Develops and maintains effective relationships within the Faculty and other areas on campus
  • Ensures timely submission of expense claims and PCard reconciliation for the Academic Director, CASL and associated Faculty
  • Coordinates physical mail and maintains departmental faculty and staff lists and faculty electronic mailman lists
  • Assists with the coordination of special events which may require room bookings, setting up food requirements, preparing and distributing notices
  • Coordinates confidential shredding and assists with the maintenance of files
  • Assists with email communication and hard-copy mail outs (produces address labels and stuffs envelopes)
  • Performs duties/assists others as required
  • Responsible for organizing meetings, including catering, room bookings and all communications
  • Ensuring that all invoices, travel claims, purchase orders, cheque requisitions are properly completed and forward to the appropriate office for processing and approval
  • Arranging accommodations, parking passes, meeting and presentation schedules for visitors and guest speakers
  • Maintaining an effective filing and records system
  • Special projects and additional duties as required
