Front Office Clerk, Olympic Oval

Position Overview

The Olympic Oval in the Faculty of Kinesiology is currently seeking a Recurring Part-time Front Office Clerk.

The Olympic Oval is home to the “Fastest Ice in the World”™, attracting the best athletes from Canada and around the world to train and compete in our world-class facility. Every year we welcome thousands of visitors, public skaters, high performance athletes and coaches to our building, located on the University of Calgary campus.

The Front Office Clerk reports to the Team Lead, Sport Partner & Guest Relations and is responsible for providing a welcoming experience, appropriate information and a seamless retail experience for Olympic Oval user groups. The successful candidate must be able to think and respond quickly, effectively and creatively in order to provide an exceptional guest experience that anticipates needs and exceeds expectations.

This position requires the ability to work weekdays, evenings and weekends. The Oval’s peak season is August to March due to extremely high customer volumes, competitions, and performance athlete training. The Oval provides a dynamic environment for Faculty of Kinesiology programs (including Dino Athletics, Active Living, Faculty courses and research initiatives) and is recognized locally as a major part of the Calgary community, providing public skating, events and bookable spaces for various public user groups and entities.

Your key purpose is to maintain the efficient operation of the Olympic Oval Front Office and coordinate with operations to ensure an exceptional guest experience for all users of the Olympic Oval, both internally (faculty, staff, athletes, and students) and externally (general public, organizations and sponsors).  

You will be responsible for responding to general inquires in a courteous and professional manner, processing payments, processing program registrations, public announcements, assisting with special projects, maintaining an organized, clean working environment, handling guest relations requests for the Olympic Oval and Kinesiology, and general campus wide information.

 

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

Guest Experience

  • Maintain strong lines of communication with operations, competitions, programs and leadership to ensure a holistic, positive guest experience
  • Provide exceptional customer service
  • Respond pleasantly, accurately and professionally to general telephone, email, in person inquiries and requests from staff and guests
  • Be able to commit to working a minimum of two shifts per week
  • Understand the guests and partners in the building and control access as needed

Administrative

  • Operate the POS system for public skating admissions, athlete fees and other monetary transactions
  • Balance cash outs and provide proper reporting for your shift
  • Organize and keep tidy the front office and front office supplies
  • Complete monetary transactions using the UCalgary CSIS system and Moneris machine
  • Complete Front Office Task List
  • Process various payments (memberships and entry fees)
  • Maintain photocopies and fax machine
  • Handle guest requests
  • Print Oval access cards
  • Manage couriers and prepare outgoing mail
  • Use a hand-held radio

Qualifications / Requirements:

  • Previous experience in an office, retail or customer service environment
  • Strong communication and customer service skills
  • Excellent organizational and multi-tasking skills
  • Ability to work independently and prioritize
  • Good working knowledge of Microsoft Office applications
  • Experience in cash handling, payment card industry and utilizing a POS system is an asset  
  • Must be bondable
  • Sport experience and/or Speed skating knowledge is an asset
